EditAccounts Receivable
backAccounts Receivable can be accessed directly from the
Dashboard.
EditLayout
This window has many different features, A Main menu with context menus, Two panes; The left pane is the
Customer pane, and the right pane has the Transaction Tab and Statement Tab.
EditMain Menu
- File
- Print - Prints the existing visible list.
- Print Preview - Print previews the existing visible list.
- Close - Closes the window.
- View
- Archived - Persistent checkmark to show/hide archived customer.
- Trashed - Persistent checkmark to show/hide
Trashed customer. - Reset - To reset the layout to base settings.
- Refresh I Refreshed the page.
- Tools
- Batch Print Invoices - Opens the Print Invoices Window
- Reports
- Payment - Opens up a Payment Report.
EditCustomer Pane
On the left-hand side (Yellow square) you have the
customer pane.
EditColumns
Standard- Customer - See customer.
- Balance - the customers balance.
AdditionalEditContext Menu
- New - Opens up a new customer window
- Open - Opens up the customer window you selected.
- Trash - Trash a customer. (Note: Only accessible if the customer has a zero balance.)
EditHot keys
- F1: Launches the help system (requires correctly configured web browser).
- CTRL+F: Find Invoice using an Invoice number.
- Right Arrow: Moves the navigation to the right pane (Transactions/Statements).
- Home: Moves the highlight to the top of the current pane.
- End: Move the highlight to the bottom of the current pane.
- Esc: Closes the window.
- F5: Refreshes the data in both panes.
EditTransaction Tab
On the right-hand side, you have the transaction tab window.
Left Click to select the transaction you want.
Right-clicking on any transaction that involves a payment or adjustment will give you two options:
- Open -Opens up the invoice you selected.
- Trash - Trash a transaction.
Right clicking on a transaction that is still an invoice will give you the five options:
- Open -Opens up the pending invoice you selected.
- Finalize - a transaction.
- View Contract -Opens up the Contracts.
- Print - Prints the invoice.
- Print Preview - previews the invoice.
EditColumns
Standard- Date - Date of transaction.
- Transaction -Type of transaction.
- Status - The current status of the invoice.
- Invoice - The Invoice number.
- Station - The Station that the invoice belongs.
- Sales Person - The SalesPerson entered on the Contract.
- Debit - A debit amount (if any) left on the invoice.
- Credit - A credit amount (if any) added to the invoice.
- Balance - what is the change to the invoice after a credit or debit.
Additional- Agency - See Agency.
- Applied to - Shows Invoice # to the invoice that received the Payment
- Comment - will show a comment if one was added to the transaction from the Payment or adjustment windows.
- End Date - The Contract effective end date (determined based on the Contract line items).
- Estimate # - The estimate number entered on the Contract.
- Invoice Type - The target Invoice type configured for the Contract.
- Product - The product entered on the Contract.
- Revenue Source - The RevenueSource entered on the Contract.
- Revenue Type - The RevenueType entered on the Contract.
- Start Date - The Contract effective start date (determined based on the Contract line items).
- YYYY-MM-Shows the year and month of transaction
EditContext Menu
There are two different Context Menus. One for Payments and Adjustments and one for Invoices:
- Payments/Adjustments
- Open: Opens highlighted payment or adjustment.
- Trash: Trashes highlighted payment or adjustment.
- Invoices
- Open: Opens highlighted Invoice
- Reverse/Finalize: manualy reverse/finalize a piticular invoice.
- View Contract: View highlights invoice's contract.
- Quick Pay: Automatic payments applied to oldest invoice dates first.
- Print: Prints the highlighted invoice.
- Print Preview: Previews highlighted invoice to be printed.
EditHot keys
- F1: Launches the help system (requires correctly configured web browser).

EditStatement Tab
The Statement tab shows you the Invoices, Payments, Adjustments, and Totals for 0-30,31-60,61-90, 91-120 and over 120 days.
You can select the date from the Date Dropdown.
You can Print Statements with the Print Statement button.
EC If you don't see the Print Statement button try and widen the entire window
EditAdd Payment
The
Add Payment button is located in the bottom right portion of the A/R window.
EditTransaction
This is the button you will use to add a payment to the transaction you have highlighted.
EditCustomer
If you want to apply a payment to the customer you need to have the Customer highlighted in the Customer pane on the right-hand side of A/R.

EditAdd Adjustment
The
Add Adjustment button is located in the bottom right portion of the A/R window.
EditTransaction
This is the button you will use to add an adjustment to the transaction you have highlighted.
EditCustomer
If you want to apply an Adjustment to the customer you need to have the Customer highlighted in the Customer pane on the right-hand side of A/R.

EditBatch Print Invoices
EditColumns
- Standard
- Select: Checkmark on/off which invoices you want printed.
- Customer: See Customer.
- Invoice#: The invoice number.
- Station: The Station the invoice is attached to.
- End Date: The Date the Invoice was finished.
- Invoice Type: The type of invoice entered on the Contract.
- Additional

- Check All: Check all lines as to be printed.
- Uncheck All: Uncheck all lines so none are printed.

- F1: Launches the help system (requires correctly configured web browser).
- Up Arrow: Moves navigation up.
- Down Arrow: Moves the navigation down.
- Left Arrow: Moves navigation to the left.
- Right Arrow: Moves the navigation to the right.
- Home: Moves the highlight to the top of the current pane.
- End: Move the highlight to the bottom of the current pane.
- Esc: Closes the window.
